Job Description
We are seeking an organised and compassionate Scheduling Coordinator to join our dedicated team. In this role, you will be responsible for managing client intake processes, coordinating services, and ensuring smooth allocations of support for NDIS participants, Aged Care Package, Private, Medicare and RTWSA/CTP clients.
Full-time, part-time and casual applicants will all be considered.

Adelaide Active Rehab and Therapy is a multi-disciplinary Rehabilitation and Therapy practice running out of a state-of-the-art purpose-built facility in Welland, with a full Rehab Gym, Paediatric Therapy space and Adelaide’s best Hydrotherapy pool. Our ever-expanding team covers Physio, Exercise Physiology, Therapy Assistants, Podiatry, Remedial Massage Therapy, Occupational Therapy and Psychology with more to come. We currently have a team of 37 and growing.
Key Responsibilities:
Reporting to the Admin Manager, in this key role you will be responsible for the day-to-day operations of the reception desk; welcoming clients and improving their day as you facilitate payments, make Health Fund claims and client bookings. In addition, the scheduling coordinator will be responsible for liaising with our NDIS and Aged Care Package clients to ensure the funding and compliance needs of the government schemes are met. You will also be responsible for client safety from time to time and need to conduct water testing as needed.
You will be an integral member of the admin team, booking and rebooking appointments, maintaining Service Agreements and client budgets, providing service information and answering queries while supporting our Clinical team to provide a high level of customer service with excellent clinical outcomes.
About You
You have strong interpersonal skills and are a bubbly person who enjoys making others feel good. You will use your excellent communication skills to build a relationship with our long-term clients and help new clients feel welcome in the Adelaide Active community. You will be experienced and knowledgeable in the NDIS scheme and be able to clearly communicate the requirements of the scheme to clients and other staff.
Key Responsibilities:
Manage initial client intake, assessments, and eligibility
Coordinate the allocation of services to appropriate providers
Maintain accurate records and manage client information, particularly with NDIS clients
Liaise with clients, families, and support teams to ensure efficient service delivery. Be proficient in using all office equipment, computers, and patient management software and have exceptional organizational skills with an eye for detail.
Key Requirements:
Experience in disability services or related fields (Allied Health and NDIS knowledge)
Strong organisational and communication skills
Ability to work collaboratively and manage multiple priorities
Compassionate and mature approach with a focus on client well-being
In addition, you will:
Be confident to multitask in a fast-paced environment while maintaining accuracy.
Be familiar with health billing and insurance procedures.
Have a willingness to learn
Have a passion for providing exceptional service and have an eye for detail
Previous experience in an Allied Health practice would be an advantage but is not essential. This role may suit a current Allied Health student who wishes to gain experience in a multidisciplinary clinic before graduating.
