About the role
The Healthy Brain and Memory Centre (THBMC) is seeking aPatient Services Coordinatorto join our team in Southport, Queensland. The successful candidate will play a key role in delivering compassionate and efficient administrative support to our patients and clinicians. This position is casual with the option to transition to full-time in the near future.
What you'll be doing
**Patient reception.**Greet and assist patients, family members and visitors with warmth and respect, ensuring an inviting environment for older adults.
**Appointment management.**Manage appointment scheduling for geriatrician consultations, cognitive assessments and allied health services and brain-health programs for depression, anxiety and general memory issues.
**Referral and documentation.**Liaise with GPs for referrals and ensure necessary documentation (e.g., Advanced Health Directives or Enduring Power of Attorney) is collected prior to appointments.
**Payment and Medicare claims.**Process payments for consultations, lodge Medicare claims electronically and handle private health insurance and DVA billing in accordance with clinic policy.
**Cancellation policy communication.**Communicate the clinic’s cancellation policy and assist with rescheduling appointments to optimise clinic availability.
**Comfort and environment.**Maintain the waiting area and ensure that sun-filled rooms remain comfortable for patients; offer tea/coffee or reading materials as appropriate.
**Clinical support.**Support clinicians by preparing patient files, scanning and uploading documents to electronic records, and using the clinic’s AI-powered scribe system.
**Communication.**Answer phone calls, respond to emails and manage general enquiries regarding services, fees and new therapies (such as Donanemab).
**Community engagement.**Assist with community-based initiatives and health education events, reflecting the centre’s commitment to improving community well-being.
**Team collaboration.**Collaborate with the multidisciplinary team to ensure continuity of care and uphold the centre’s philosophy of empowering older adults.
What we're looking for
Previous experience in a patient services or medical administration role
Strong communication and interpersonal skills, ability to listen patiently and respectfully to older adults, even when hearing the same story multiple times.
Demonstrated ability to manage detailed administrative tasks (e.g., appointment scheduling, payment processing and Medicare claims) accurately and efficiently.
Excellent organisational and time management abilities
Proficiency in using electronic medical record systems
Ability to manage competing priorities, handle high-volume phone calls and maintain confidentiality and accuracy
A keen eye for detail and a commitment to maintaining accurate records
A warm, empathetic approach when interacting with patients and their families
