Job Description
Geelong Psychology Group are a thriving well established psychology practice looking for a mature minded, flexible individual to join our admin team.
We are a team of 20 psychologists/ counsellors, some of whom have worked together for 10-15 years. We are a welcoming, innovative practice with a positive, stable team environment. We are based across 1 central location with several satellite offices.
We are looking to recruit a warm and enthusiastic individual with flexibility to work 3-4 days a week to help support our amazing team. The successful candidate would be interested in sharing the role with 1-2 other dynamic admin staff. This is a fixed term contract - the position is available now for the successful candidate with the contract running until July 2026. There is potential for these hours to extend beyond the current contract.
It is a busy practice with multiple referral pathways that will require suitable candidates to be able to multitask, have mental flexibility, prioritize competing demands and attend to details efficiently and effectively.
Key accountabilities of this role will include:
greeting clients
answering phone calls and responding to client and third-party queries
responding to client and staff emails along with instant messages via staff intranet
process client payments and processing Medicare rebates
sending third-party invoices
maintain client records
being a key contact relating to staff locations and the requirements of each referral pathways so that you are able to assist clients with getting all necessary paperwork needed
managing psychologist diaries including cancelling and rescheduling appointments
manage with the support of the Directors office-based issues as they arise, including IT, phone and internet issues
general admin tasks as required
About you
Previous experience undertaking an administrative role and tasks is essential. We required candidates to demonstrate that they have:
Sound computer knowledge of Microsoft Programs and email
An excellent phone manner
Amazing customer support skills
Experience of processing payments using eftpos terminals
The ability to work both independently and as part of a collaborative team
Experience in dynamic and fast paced environments
While not essential it would be preferred if clients had:
A background in Medical or allied health reception
Knowledge of Power Diary practice management software
Experience working in an environment where confidentiality is critical
We are looking for someone who is proactive and willing to learn. It is a role that requires flexibility as there are constant interruptions to the role and also multiple referral pathways and policies.
