Administrative Officer

About the role

We are seeking a skilled Administrative Officer to join our dynamic team at The Shire Psychology. This is a casual role, providing administrative support to our psychologists. Your exceptional organisational skills and attention to detail will be key to ensuring the smooth running of our practice.

This is a casual position, and the successful applicant may work approximately 1-2 days per week. Flexibility in increasing shifts to suit staff availability is also ideal. The successful applicant would also be required to travel between our Keilor and Sunbury clinics.

What you'll be doing

Reception duties, such as faxing, scanning and answering phone calls 2.

Meeting and greeting clients as they enter our clinic 3.

Managing enquiries and bookings that come through our phones and emails 4.

Managing and processing Medicare invoices, third-party invoices and private billings 5.

Liaising with clients, schools and medical professionals in a professional and friendly manner 6.

Ensure the office environment is well-organised and presentable 7.

Abiding by relevant ethical standards to ensure client privacy and confidentiality 8.

Providing ad-hoc administrative support for all clinicians

What we're looking for

1.

Proven experience in an administrative or office support role (psychology clinics desirable) 2.

Previous experience in using Halaxy (highly desirable, however not required as training will be provided) 3.

Strong organisational and time management skills 4.

Excellent communication and interpersonal abilities 5.

Proficiency in using standard office software (e.g. Microsoft Office) 6.

Ability to work well independently and as part of a team 7.

Keen attention to detail and a commitment to providing high-quality work
